Set Up the Project Management Board Notifications Premium board icon

To set up Project Management Board Notifcations

  1. Access the Admin View.

  2. In the main menu, click the workflows icon workflows icon. The Workflows page opens.

  3. On the Boards tab, locate and select the Project Management board. The Board: Edit Board page opens.

  4. In the Edit area, click Notifications.

  5. Click + Create Notification. The Notifications: BoardName page opens.

  6. Enter this information.

    Notification configuration
    Field Description Valid Values
    Input View View on which the event that triggers the notification occurs. Input – Project
    Display View View on which the notification results display. Details – Project
    Event Action that causes the notification to be sent.

    Select one:

    • Create

    • Update

    • Create or Update

    Condition Filter criteria that affect the notification trigger. As appropriate.
    Description Information and details about when or why the notification is being sent. As appropriate.
  7. Click Next. The Schedule page opens.

  8. If appropriate, select the Schedule Type (for example, Immediate).

  9. Click Next. The Channels page opens.

  10. For Channels, select the checkbox for all channels (for example, Email, Inbox, Text, and Voice) through which you want to send notifications.

  11. Click Next. The Recipients page opens.

  12. On the Recipients tab, click available sub-tabs (Recipients, Positions, Groups, Notification Groups, and Organizations) to select the checkboxes for various individuals, positions, groups, or organizations that you want to receive the notifications.

  13. Alternatively, click the Fields tab.

  14. In the corresponding lists, select the Channel and Recipient Type.

  15. In the Board Field list, select notification_recipients.

  16. Click + Add.

  17. Repeat steps 12-14 to add various channels and recipient types.

  18. Click Next. The Message page opens.

  19. Enter your message. If appropriate, use these placeholders:

    • Short Message: {{project_name}} has been created!

    • Long Message: {{project_name}} has been created by {{created_user}}

    • Deadline: {{project_deadline}}

    • Priority: {{project_priority}}

    • Description: {{project_description}}

  20. If appropriate, in the Attach Display View as PDF section, select Create and Send PDF.

  21. For Display View, select Details.

  22. Specify the Orientation and File Name.

  23. Click Save.

  24. Repeat this procedure to create notifications related to tasks. In this case, for Input View, select Input – Task, and for Display View, select Details – Task. Again, if appropriate, you can use placeholders in your message.
