Manage Sent Notifications

Sent notifications preserve details about a notification's composition and act as a repository for message and response data. The notifications you send are automatically retained on the Sent tab for your review. Sent notifications contain detailed information about delivery statuses and recipient responses, which allow you to better manage the notification and analyze delivery options for the future.

On the sent notification panel (when you click a sent notification), there are two tabs: the Message tab and the Delivery and Response tab. The Message tab provides mostly static information about the notification, including the name of the sender, message type, subject, recipients, email message, responses, and delivery order. The Delivery and Response tab provides dynamic information about the notification delivery and response. It also allows you to view and filter results by individual recipients and quickly send a follow-up notification.

To manage sent notifications

  1. On the main menu, select Notifications. The Notifications page opens.

  2. Click the Sent tab.

  3. Perform any of these actions:

    After sending or scheduling a notification, you can cancel it to prevent any future deliveries. If a notification's delivery process is complete, you can't cancel it.

    If you choose to cancel a notification that is currently in the process of being delivered, some recipients may still be contacted before the notification is fully stopped. Recipients that were contacted prior to stopping the message will be able to access the notification, but will not be able to respond, and the system will not attempt to contact the recipient again for this notification.

    1. Locate the notification and click it. The preview opens.

    2. Click the Delivery and Response tab.

    3. Click Cancel Notification. A confirmation window opens.

    4. Click Yes, Cancel Notification.

    2. Select one of these options.

      • Save to Computer

      • Save to File Library

    3. Click Submit.

    2. Click Refresh.

    2. Click any arrows to expand or contract information.

    3. Select filters to refine the results.

    After sending a notification, you can send a follow-up notification to provide more information. Follow-up notifications do not retract or remove the original notification, but rather, are received as a new notification that has the word "update" appended to the front of the subject. When creating a follow-up, you can select any message type, which is also appended to the subject.

    The original notification is included within the body of the follow-up notification.

    1. In the list, locate the notification and click it. The notification opens.

    2. Below Delivery Method, click the Delivery and Response tab.

    3. In the Delivery area, click Send Follow-up. The Create Notification page opens.

    4. Complete the creation and send process. For details, see Create a Notification.

    If you send communications to a certain group of recipients frequently, you can add them to a group to streamline the process. You can add notification recipients to an existing group or create a new group when you manage Sent Notifications or Manage Sent Archived Notifications.

    1. On the Sent or Sent Archived tab, select a notification. The preview opens.

    2. Click the Delivery and Response tab.

    3. Perform one of these actions.

      • Select checkboxes for the recipients you want to contact and click Add to Group

      • To add all recipients to a group, click Add to Group All.

    4. Select one of these options.

      • New Group: The New Group With Responders window opens.

        1. For Name, enter a name for the group.

        2. For Description, enter details about the group.

        3. Click Submit.

      • Existing Group: The Select Group window opens.

        1. Select the checkbox for a group.

        2. Click Select.

    In the preview, click the Message tab.

    If the notification was sent using a notification template, the name of the template used is displayed in a label under the notification name and time stamp details.

    Perform one of these actions.

    • In the preview, click the archive icon Archive icon.

    • Select multiple notifications and click Archive.
