Create a Notification

If you have Publisher permissions, you can save notifications as templates and drafts, or you can send them immediately.

You can access the Create Notification page several ways.

  • On the homepage, click Create Notification. The Create Notification page opens.

  • On the lower right of the homepage, click the send notification icon Send Notification icon. The Send Notification Template panel opens.

  • On the main menu, select Notifications and click Create Notification. The Create Notification page opens.

To create a notification

  1. On the Create Notification page, click New Notification or on template, click Open. The Define Delivery Options page opens.

  2. Enter this information:

    Delivery Method

    Select one or more Delivery Methods. Selection is required before you can select a Delivery Order or click Next.

    Delivery Order

    Select Escalation to delay the delivery of the notification based on the delivery method. Otherwise, select Blast. For more information, see Delivery Order.

  3. Click Next.

  4. Enter this information:

    Select one of these options.

    • Myself

    • System

    • Select Organization. When you select this option, the Select Organization page opens, and you must do these actions.

      1. Select an organization.

      2. Click Select.

    Message Type

    Select a message type to indicate the purpose of the notification. For more information, see Message Types.

    Subject

    Enter the subject of the notification.

    Short Message

    Enter the message for text and pager notifications.

    Paste Short Message

    Click to copy the text from the Message field for short messages and paste it into the Message field for long messaged or voice messages. This will overwrite any existing text.

    Long Message

    Enter the message for email, fax, and Inbox notifications.

    Voice Message

    Select one of these options.

    • Convert Text to Voice: This allows you to enter text in the Message field that the automated system will read aloud to voice call recipients when they answer. For more information, see Voice Message Text-to-Voice Guidelines.

    • Record Audio Message: This allows you to record audio files for voice notifications. For more information, see Record Audio Messages.

    Times to Repeat Call

    Select the number of times to repeat the voice notification if there is no answer.

    Time Between Calls

    Select the number of minutes to wait before repeating delivery attempts for voice notifications.

    Allow Responses

    Click the toggle switch to allow responses to your notifications.

    Response 1

    Enter a response for the recipient to select when responding.

    Conference Bridge Number

    Enter a valid phone number, with or without an extension, dashes, spaces, and parentheses. The number will automatically update to the correct format when you click away from the field.

    Meeting ID

    Enter a Meeting ID comprised only of numbers, asterisks (*), hashes (#), and plus signs (+).

    + Add Response

    Click to configure more responses for recipients to choose.

    Allowed Time for Response

    Click to set a time in which recipients must respond to the notification.

  5. Click Next.

  6. Enter this information:

    Internal Recipients

    1. In the Select Recipients area, click Internal Recipients to add the intended recipients to the notification. The Add Recipients page opens.

    2. On the Organizations, Groups, and Accounts tabs, select the checkbox for each entity you want to select.

    3. On the upper right, click Save.

    External Recipients

    Click to download a template and upload a list of external recipients via a comma-separated values (CSV) file. For more information, see these topics.

    CC Email Address

    Enter email addresses to add CC recipients. Separate multiple email addresses with a comma.

    Total Recipients

    Click Recipients to view the Selected Recipient list. Click Cancel to close the list when you are done viewing.

  7. Click Review and Send. The Save as Template? window opens.

  8. Select either:

    • Do Not Save And Send - you do not save your settings as a template, and proceed to the Review and Send page settings.

    • Save And Send - the Save as New Template dialog opens, allowing you to set up a template using the fields described:

    Title

    Enter a Title for the template.

    Template Icon

    Click an Icon to apply it to the display card for the template.

    Template Color

    Click a Template Color to apply it to the display card for the template.

    Pin this template to the Emergency Notification panel

    Click the Pin this template to the Emergency Notification panel toggle switch if you use this template frequently or want to access it quickly. This will pin the template to the Select Notification Template panel and will allow you to use the Show Pinned Only toggle switch to quickly filter templates on the Templates tab.

    This does not send the notification at this stage.

  9. In the Review and Send page, for the Send Date and Time area, click one of these options:

    • Immediately

    • Schedule: If you click Schedule, enter a Send Date and Send Time.

  10. Select the Reviewed and ready to send checkbox. When you select this checkbox, Send Notification and Test Notification become active and all other fields on the preview page become inactive.
